Bookmarks — how to label the version you sent the client
One of the jobs "_final" at the end of a file name was doing was to say "this is the one that went out". In Octorium that mark goes on the history instead. Here is how to put it there, how to find it, and when it is worth doing.

A bookmark can be added later
"That was the version I sent the client" is usually something you realise later. So a bookmark can go on any line that is already recorded. It does not rename a file; it puts a label on the history, so the folder still holds one file, as it was.
- In the timeline in the middle, choose the entry to label.
- Click Bookmark at the top of the right-hand column.
- In the "What should this moment be called?" window, type a name, or click one of the suggestions below it (Sent to client, Approved, Presented, First draft, Second draft).
- Click Bookmark. An orange label appears above that entry.
- To change the name, click the orange label and type again. To remove it, click Clear bookmark in the same window. The entry itself stays.
- To see only bookmarked entries, click Bookmarked only (the bookmark shape) in the toolbar.
- Type a word from the label ("client", "approved") into Search for what you remember and that entry comes up.
The habit of bookmarking just before you send
The best moment is the moment you send. Press the shortcut once just before you attach the file to the email, "Recorded this moment" appears, and you put Sent to client on that entry. If there are changes not yet recorded, Name this moment keeps the current state as a new entry with a name. Either way it takes ten seconds.
The three things a label does
- Finding
- You no longer hunt for "the version we sent the client last month" by guessing at times. It comes straight up in the bookmark list or in search.
- What changed since then
- Choose the labelled entry and click the Now tab, and every file that changed since you sent it is listed. It is the only tab that includes changes not yet recorded. For the difference between two sent versions, use the Compare tab — bookmarked entries are gathered at the top of its list.
- Going back
- When "the first version we sent was better" comes in, choose the labelled entry and click Go back to this moment. Going back is recorded too, so if it was the wrong call you can come back to now.
Choosing a name
- Recipient and round: "Client, round 1", "Client, round 2", "Manager review". One word more specific than the suggestions and you will still recognise it three months on.
- Never "final". Stopping that word from becoming a lie is why you started. "Sent" is a fact; "final" is a hope.
- One label per entry. If you need two, put the second on the next entry. A name can be changed at any time.
